After the application documents have been approved by the foreign university, you will usually receive further instructions from them in the form of an Acceptance Email or an Acceptance Letter containing your personal information (e.g. name and date of birth) and the exact dates of your mobility (including Welcome Day/Week, language subject, etc.). The acceptance letter can be used when applying for a visa to the country of the partner university.
Once accepted, you will take a total of 30 ECTS (= 15 US credits) per semester of foreign subjects related to your study programme, optionally including 1 foreign language, in order to fulfill the mobility requirements and be supported by a scholarship. If the selection does not allow you to earn 30 ECTS (e.g. CNU) or you have difficulty completing the subject during your studies, immediately contact the faculty coordinator Ing. Veronika Brecklova.
The list of subjects and the number of credits must be approved by the faculty coordinator (see the binding declaration of the student).
Note: In some cases, the selection of subjects is already part of the partner university's application process and is specified after admission in the system of the foreign university.
You apply for the visa yourself, i.e. you also provide the necessary documents yourself. The faculty coordinator can only issue you a "Confirmation of Nomination" with the preliminary amount of the scholarship and a "Letter of Recommendation" from the FEM IRO upon request.
With Request for Mobility, you are announcing your intention to study abroad also to the Study Affairs Office. It is submitted in the UIS at “Contact centre – Foreign department – Request for Mobility”.
The Request for Mobility contains the following:
Query subject | Non-European study mobility |
Name of the foreign university/enterprise | EN name of the partner university |
The beginning of the mobility* | Welcome week or the beginning of the semester |
The end of the mobility* | The last day of the exams or semester |
Attachment (“Select file”) | Acceptance letter |
* Exact date of study: fill in the start and end dates of the mobility corresponding to the dates in the acceptance letter or the calendar year of the partner university. The welcome week or language subject is also included in the start of the mobility. The end of mobility is the last exam, i.e. the expected end of the exam period.
The Request for Mobility is checked by the Study Affairs Office to see if you have fulfilled your study commitments required for departure. If any of your study commitments are not met, your Request for Mobility will be returned to you. If your studies are in order, the application is approved and the mobility is entered into the UIS, which opens a "checklist" in the UIS that serves as a repository for mobility documents.
Note: In case you have to repeat a study year due to the mobility or you want to merge the current and upcoming study year into one academic year, use the Individual Study Plan (ISP) submitted to the Study Affairs Office preferably by the end of June.
The bank account must be entered in the UIS ("Student’s portal – Study financing and scholarships - Bank accounts") to receive the scholarship. To enter the bank account, you need to provide:
- the name and exact address of the bank branch in the Czech Republic,
- account number and account currency (CZK),
- specification for the purpose of "for the payment of scholarships",
- valid for the entire duration of the stay and thereafter until the documents from the stay have been processed (in case of change of the mobility duration and reimbursement of the scholarship).
Before departure, you must also arrange travel insurance for the entire period of your planned mobility, which must include medical expenses, liability insurance, accident insurance including repatriation, etc., according to the conditions set out in the binding declaration of student (see section 7.1).
We recommend ERV insurance, which meets all the requirements and limits of travel insurance.
If you arrange the insurance with another insurance company, it must be with at least the same terms and limits and the FEM IRO reserves 30 days to compare the terms and conditions!
Insert the insurance confirmation into the checklist in the UIS.
Note: Some universities require you to arrange local insurance (usually just health insurance), so make sure you meet all the requirements and arrange additional insurance if necessary.
